Self-service kiosks
Self-service touchscreens let customers browse the currently available menu, review an order, choose an available payment method and send it directly to the kitchen.
Choose from the food, snack and drink categories currently shown.
Check the selected items, quantities and total before ordering.
Use the card or counter-payment option available on the kiosk.
The kitchen receives the order and updates it as it is prepared.
Payment and account security
SerialQ keeps payment processing and account verification with the established providers built for those jobs.
SumUp payments
- Card details are handled by SumUp rather than entered into SerialQ.
- SumUp states that its processing follows PCI DSS.
- Payment data is encrypted in transit to SumUp's payment servers.
Microsoft verification
- Remote pre-orders use Microsoft's own sign-in page.
- SerialQ never receives the Microsoft password.
- The signed result, selected college tenant and permitted account domain are validated.
- SerialQ does not retain the email address, access token, ID token or Microsoft account ID.
How the kitchen uses SerialQ
The kitchen touchscreen brings orders from on-site kiosks and eligible online pre-orders into one preparation view.
- Received: The order appears with its items, payment state and collection details.
- Making: Staff mark the order as being prepared.
- Ready: Staff mark it ready for collection from the canteen.
- Complete: The order leaves the active view after collection.
Data collected and deletion
SerialQ collects the information needed to prepare, pay for and track an order.
What is collected
- Order name, selected items, quantities, customisations, notes, total, payment method, pickup time and order status.
- For SumUp payments: a checkout or transaction reference and payment state, not the full card number.
- For Microsoft verification: a temporary student or staff role in the signed session. The email address, password and Microsoft tokens are not retained.
- The ordering browser saves a signed order-status reference on that device so it can show the latest status.
When it is deleted
- The Microsoft verification session expires after 30 minutes and is also cleared on sign-out.
- The signed online order-status link is accepted for up to 7 days. Browser site data can be cleared sooner from the device.
- Completed order records are configured for retention for 30 days.
- Cancelled order files are configured for retention for 14 days.
- Security and administrative audit records are configured for retention for 180 days.
- These records are removed during the system's retention cleanup; authorised staff can delete matching customer order records sooner when required.
